Privacy policy
This policy explains what Cancelminder processes, why we process it and how you can control your data.
Who we are
CancelMinder operates the Cancelminder service and is responsible for the personal information described in this policy. Contact us at obodaij@gmail.com.
Information we process
- Account information: your name, email address, timezone, sign-in details and notification preferences. Passwords are stored as hashes rather than readable passwords.
- Trial information: merchant and product names, trial dates, cancellation deadlines, expected charges, subscription links, notes and changes you make.
- Optional Gmail connection information: your connected email address, encrypted provider credentials, synchronisation status and relevant message metadata such as sender, subject and received date.
- Service records: reminder delivery records, usage events and operational information used to maintain the service.
Optional Gmail access
Google sign-in and Gmail access are separate. Connecting Gmail requires your separate permission and uses read-only access. We check the previous 30 days on first connection, then check for new messages. Cancelminder does not send messages from your Gmail inbox.
Relevant candidate message content is processed temporarily to identify trials. Complete email bodies, HTML and attachments are not permanently stored in Cancelminder’s database.
How we use information
We use account and trial information to provide your workspace, identify and organise trials, calculate recommended cancellation dates and deliver reminders. We use service records to diagnose problems, protect accounts and understand whether the service is working.
Trial detection may need correction and does not guarantee that every trial will be found. You can review, edit and add trials manually.
Legal bases for processing
We process account and trial information to provide the service you request. We rely on our legitimate interests in protecting accounts, diagnosing problems and maintaining the service for necessary security and operational records. Optional Gmail-based trial detection relies on your consent; you can withdraw it by disconnecting Gmail. Withdrawal does not affect processing that has already taken place.
If a legal obligation requires us to retain or disclose particular information, we may process it for that obligation. Contact us if you would like more information about the basis for a particular use of your data.
Providers involved in processing
Google supplies sign-in and Gmail access. Relevant candidate email content is sent to OpenAI for classification and trial-detail extraction. These API requests use the setting store: false. Maileroo delivers transactional emails. Hosting, database and delivery providers also process information needed to operate the service.
Providers have their own processing, location and retention arrangements. The fact that Cancelminder does not retain full email bodies does not mean that every provider has identical retention practices.
International processing
Our providers may process information in countries other than where you live. The applicable arrangements depend on the provider and processing location. Contact us for information about the destinations and transfer safeguards relevant to your data.
Cookies and service analytics
The web app uses a session cookie to keep you signed in and temporary cookies to support secure authorisation flows. The session cookie lasts up to 30 days unless you sign out or it is revoked. Cancelminder records landing-page visits and service events for operational analytics.
Retention and deletion
Account and trial records are kept while your account remains active so the service can operate. Disconnecting Gmail stops monitoring and removes stored connection credentials; existing trials remain so their reminders can continue. Deleting your account removes its associated records from the active application database.
Provider records and infrastructure backups may follow different retention arrangements. Do not assume that disconnecting Gmail deletes your existing trial records or data already processed by a provider.
Your choices and rights
You can update account details and notification preferences, edit trial information, disconnect Gmail or delete your account. You can also revoke access through your Google account.
Depending on applicable law, you may have rights to access, correct, erase or receive a copy of your information, restrict or object to processing, and withdraw consent where processing relies on it. To ask about or exercise your rights, email obodaij@gmail.com. You may raise a concern with your local data-protection authority; in the UK, this is the Information Commissioner’s Office.
Security
We use hashed passwords, encrypted stored provider credentials and access controls. No online service can guarantee complete security. Protect your account credentials and review information before following a merchant subscription link.
Changes to this policy
We will update this page when our practices change and show the revised date. Material changes affecting how your information is used will be brought to your attention where required.
